Job Description: Accommodation Services at LegalHoops

LegalHoops, a leading legal services provider, is seeking a highly organized and personable individual to join our team as an Accommodation Services professional. This position plays a crucial role in ensuring seamless accommodation arrangements for our clients, both domestic and international.

Responsibilities:
1. Client Relationship Management: Build and maintain strong relationships with clients, understanding their unique requirements and preferences related to accommodation during their legal visits or trials.
2. Accommodation Coordination: Coordinate and manage a broad range of tasks related to accommodation, including hotel reservations, apartment rentals, and other temporary housing solutions.
3. Research and Analysis: Conduct extensive research on available accommodation options, considering factors such as location, proximity to legal establishments, cost, and safety, to provide suitable recommendations to clients.
4. Negotiation: Negotiate favorable terms including rates, contract lengths, and special accommodations with hotel partners, landlords, and property management companies to guarantee the best service for clients.
5. Compliance: Ensure adherence to all legal regulations, company policies, and industry standards while making accommodation arrangements. Stay updated on relevant laws and regulations pertaining to temporary housing to mitigate any risks or compliance issues.
6. Problem Resolution: Act as a point of contact to address and resolve any client concerns, issues, or requests related to accommodation promptly and effectively.
7. Record Management: Maintain accurate and up-to-date records of client accommodation preferences, bookings, and related invoices, ensuring confidentiality and data protection.
8. Quality Assurance: Monitor the quality and standards of accommodation services provided to clients, seeking continuous improvements based on feedback and industry trends.
9. Cross-Functional Collaboration: Collaborate with other teams such as Legal Operations, Travel Management, and Finance to ensure smooth coordination, visibility, and timely settlements for accommodation-related expenses.
10. Reporting: Prepare regular reports on occupancy rates, performance metrics, and feedback from clients, which will be used to optimize our accommodation services.

Qualifications:
1. Bachelor’s degree in Hospitality Management, Business Administration, or a related field.
2. Prior experience in accommodation services, hospitality, or customer service roles is preferred.
3. Strong interpersonal skills to effectively communicate and build relationships with clients, hotel partners, and various stakeholders.
4. Excellent organizational skills with the ability to multitask and meet deadlines in a fast-paced environment.
5. Attention to detail and strong problem-solving abilities to address client concerns promptly and find appropriate solutions.
6. Proficiency in using accommodation booking software or property management systems.
7. Knowledge of legal processes and legal terminology, though not mandatory, would be an asset.
8. Familiarity with relevant laws and regulations related to the accommodation industry.
9. Ability to work independently as well as part of a team, demonstrating flexibility and adaptability.
10. Strong computer skills, including MS Office suite and data management tools.
