Job Summary:
LegalHoops is seeking a highly organized and detail-oriented Silent Auction Event Manager to oversee the planning and execution of our silent auction events. As the Silent Auction Event Manager, you will play a crucial role in ensuring the success of our fundraisers by effectively coordinating all aspects of our silent auctions, including procuring items, managing bidding processes, coordinating logistics, and maximizing engagement and revenue generation.
Key Responsibilities:
1. Silent Auction Coordination:
– Plan, develop, and execute silent auction events for LegalHoops, ensuring seamless coordination of all aspects, including item procurement, setup, and breakdown.
– Research and identify unique, high-value auction items to attract potential bidders, considering legal themes and interests.
– Establish and maintain relationships with donors, businesses, or individuals, promoting their involvement in our silent auction events.
– Create and manage auction item listings, ensuring item descriptions are engaging, accurate, and appealing.
2. Bidder Management:
– Coordinate the bidding process, including registration and on-site or virtual auctions, ensuring efficient bid tracking and bidder engagement.
– Utilize appropriate software or platforms for managing the auction process, maintaining bidder privacy and confidentiality.
– Promote bidder participation by effectively marketing and communicating auction items, highlighting their unique features and benefits.
3. Event Logistics Management:
– Collaborate with the Event Planning Team to develop timelines, ensuring optimal organization and flow.
– Coordinate auction display areas, ensuring attractive and visually appealing setups that enhance bidder engagement.
– Oversee the setup and breakdown of silent auction areas, coordinating with volunteers or event staff to ensure a smooth transition before, during, and after the event.
– Maintain an inventory of all auction items and ensure accurate record-keeping throughout the event.
4. Revenue Generation:
– Develop innovative strategies to drive bid participation and maximize revenue generation during silent auction events.
– Collaborate with the Marketing Team to effectively promote the auction, utilizing various channels such as social media, email marketing, and direct outreach.
– Monitor bidding activity and strategize ways to increase participation, such as implementing competitive bidding techniques or introducing limited-time offers.
Qualifications and Skills:
– Bachelor’s degree in Event Management, Business Administration, or a related field.
– Proven experience in event planning and management, particularly in coordinating silent auctions or similar fundraising activities.
– Excellent organizational and multitasking skills with meticulous attention to detail.
– Strong written and verbal communication abilities, with the ability to engage and build relationships with donors and bidders.
– Proficiency in using auction management software or similar platforms.
