Job Summary:
The Opening Ceremony Coordinator at LegalHoops will be pivotal in orchestrating all aspects of the opening ceremony, ensuring a seamless and unforgettable experience for all attendees. This position primarily involves managing onsite registration, coordinating raffles, and conducting a silent auction integral to our opening ceremony. The Opening Ceremony Coordinator will collaborate with various stakeholders to create an exciting atmosphere that reflects the spirit and values of LegalHoops.

Responsibilities:
1. Onsite Registration:
– Oversee the registration process during the opening ceremony, ensuring a smooth check-in for participants, sponsors, and VIP guests.
– Maintain accurate registration records and compile necessary participant information for future reference.
– Coordinate with the registration team to resolve any issues or concerns.

2. Raffles:
– Develop and execute a raffle strategy to enhance attendee engagement and generate revenue for LegalHoops.
– Source desirable prizes, negotiate with vendors, and arrange the necessary logistics for raffle drawings.
– Coordinate with the marketing team to promote the raffle and create excitement among participants and spectators.

3. Silent Auction:
– Lead the planning, organization, and execution of a silent auction, securing valuable and appealing items for bidding.
– Develop creative auction displays and arrangements that encourage participants to participate and bid on items actively.
– Manage the post-auction processes, including payment collections, record-keeping, and distributing items to winning bidders.

4. Event Logistics:
– Collaborate with internal teams, such as Marketing, Operations, and Sponsorship, to ensure a cohesive and well-coordinated opening ceremony.
– Organize the setup of necessary equipment, visuals, and displays to create an engaging and visually appealing environment.
– Oversee vendor coordination for necessary equipment, decorations, and other requirements, while remaining within the allocated budget.

5. Attendee Engagement:
– Create an energetic, welcoming atmosphere that sets the tone for the tournament and fosters a sense of community among participants.
– Develop and implement interactive activities or ice-breaker games to facilitate networking opportunities during the opening ceremony.
– Provide exceptional customer service to all attendees, addressing inquiries and resolving challenges promptly and professionally.

Requirements:
– Bachelor’s degree in Event Management, Hospitality, or a related field (highly preferred).
– Proven experience in event coordination, preferably in large-scale opening ceremonies or similar events.
– Excellent organizational skills and attention to detail, with an ability to manage multiple tasks simultaneously.
– Strong interpersonal and communication skills to effectively collaborate with stakeholders at all levels.
– Ability to work under pressure, meet deadlines, and adapt to changing requirements without compromising quality or efficiency.
– Proficiency in event management software and tools.
– Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.
